Job Details
Sarah Gibson MP is seeking a highly organised, proactive, and compassionate individual to lead her constituency office as an Administrative Manager and Senior Caseworker. This senior role will support constituents with complex casework while also ensuring the smooth administrative and operational running of both the parliamentary and constituency offices.
We need someone with strong communication skills underpinned by empathy and a willingness to deliver for local people. A good understanding of the Microsoft package, confidence in using databases and systems, and an awareness of data protection legislation are essential.
Job description
Office and Administrative Management
- Manage incoming communication channels, ensuring all queries are handled in a timely manner.
- Provide administrative management for the MP’s expenses, budgets, and financial processes – this is managed via IPSA database (see here: Who we are | IPSA)
- Oversee diary management, constituency logistics, and scheduling.
- Ensure efficient data and file management and full compliance with data protection legislation.
- Produce minutes, correspondence, and briefings as required.
- Support the MP with HR responsibilities, staff supervision, training, and recruitment.
- Support the MP with the Register of Interests and any organisational or compliance tasks.
- Oversee procurement, office systems, equipment, and project management responsibilities.
- Provide executive support to the MP, including liaison with local groups, charities and interest organisations.
- Supervise and mentor staff, contributing to a positive and collaborative working environment.
- Engage with external providers and suppliers as required.
- Build and maintain constructive relationships with local organisations, public bodies, and community stakeholders.
- Represent the MP professionally at meetings, visits, and local events.
Constituency Casework
- Manage a large caseload of complex cases in a professional, confidential, and sensitive manner.
- Take initial action on queries from the public, including responding directly on behalf of the MP where appropriate.
- Gather relevant information to progress or resolve cases, liaising with Government agencies, local authorities, voluntary sector organisations and other stakeholders.
- Exercise a high level of autonomy in assessing evidence, reaching decisions, and drafting clear and concise reports outlining findings and recommended actions.
- Engage with constituents via telephone, email, social media, and face-to-face meetings, including at constituency surgeries.
- Maintain accurate and confidential records, ensuring all data is handled in accordance with data protection legislation.
- Provide oversight of casework systems, processes, and database management to ensure consistent high standards across the team.
There may be a requirement for the role holder to work outside of normal working hours, including assisting with events alongside the MP as requested.
